Configuration

How to configure Gantry to match your business needs

Overview

Gantry works out of the box with sensible defaults, but every business is different. This guide explains how to customize Gantry's settings to match your organization's specific targets, thresholds, and workflows.

Accessing Settings

  1. Open Gantry
  2. Click the Settings icon (gear) in the sidebar
  3. Use the tabs to navigate between configuration sections

General Settings

Dashboard Display

Control which dashboards appear and in what order:

Setting Description
Dashboard Visibility Toggle dashboards on/off for the navigation
Dashboard Order Drag to reorder how dashboards appear in the sidebar
Default Dashboard Choose which dashboard loads when you first open Gantry

Visual Preferences

Setting Description
Dark Mode Switch between light and dark themes
Compact Mode Reduce spacing for denser information display
Sparklines Toggle mini trend charts on/off in tables

Data Settings

Setting Description
Default Date Range Set the default time period (30, 60, 90 days, or custom)
Auto-Refresh Automatically refresh dashboard data periodically
Refresh Interval How often to refresh (5, 15, or 30 minutes)

Dashboard-Specific Configuration

Each dashboard has its own configuration options. Access them through the Settings page or directly within each dashboard.

Liquidity Settings

Configure how cash flow analysis works:

Bank Accounts Select which accounts to include in cash analysis All bank accounts
Volatility Threshold Define when cash flow is considered "volatile" 15% variance
Overdue Payment Days How far overdue before flagging receivables 30 days
Payment History Lookback How far back to analyze payment patterns 12 months

Profitability Settings

Set your financial health benchmarks:

Target Gross Margin Your organization's GM goal 20%
Gross Margin Warning Alert when GM falls below this 15%
Gross Margin Critical Urgent alert threshold 10%
OpEx-to-Revenue Warning Flag when operating expenses exceed this ratio 30%
Revenue Decline Alert Alert on year-over-year decline greater than this 10%
Hidden Departments Exclude specific departments from analysis None

True Cost (Burden) Settings

Configure overhead rate calculations:

Setting Description Default
Labor Overhead Factor Multiplier for fully-loaded labor cost 1.15 (15% wrap)
Burden Applied Accounts Accounts containing allocated overhead Auto-detected
Hidden Departments Exclude from burden analysis None

ℹ️ Info: The labor overhead factor accounts for employer taxes, benefits, and other costs not captured in base salary. A factor of 1.15 means $100 of salary costs $115 fully loaded.

Billable IQ Settings

Configure utilization tracking:

Target Billable Percent Your utilization goal 70%
Cost Spike Threshold Alert when non-billable costs exceed this 25% increase
Minimum Hours Ignore employees with fewer hours (too little data) 20 hours
Hidden Employees Exclude specific employees from tracking None

Sentinel Settings

Configure fraud detection thresholds:

Duplicate Time Window Days between transactions to consider as potential duplicates 7 days
Duplicate Minimum Amount Only flag duplicates above this amount $500
Approval Threshold Flag transactions above this for review $10,000
Benford Alert Level Sensitivity of first-digit analysis Warning

Procurement Settings

Configure vendor performance scoring:

Revenue Intelligence Settings

Configure customer health analysis:

RFM Scoring Weights (must total 100%):

Frequency Weight How often customer purchases 25%
Monetary Weight Customer spend amount 30%
Payment History Weight On-time payment record 20%

Thresholds:

Spend Velocity Settings

Configure spending pattern detection:

Acceleration Threshold Rate of velocity change to flag 15%
Boiling Frog Days Lookback for subscription creep 180 days
Boiling Frog Increase Cumulative increase to flag 25%

Zombie Spend Days Inactivity period to flag 90 days

Fiscal Calendar

Gantry automatically detects your fiscal calendar from NetSuite accounting periods. The detected calendar type appears in Settings under System Information.

Supported calendar types:

  • Standard Calendar Year (January - December)
  • Shifted Fiscal Year (e.g., July - June)
  • 4-4-5 Retail Calendar
  • 53-Week Year (automatically detected)

If your fiscal year is not detected correctly, verify your accounting periods are properly configured in NetSuite under Setup → Accounting → Manage Accounting Periods.

Saving Configuration

All changes are saved automatically when you:

  • Toggle a setting
  • Select from a dropdown
  • Click away from a text field

For settings with a Save button, click Save to apply your changes.

Resetting to Defaults

To reset a dashboard's configuration to default values:

  1. Open Settings
  2. Navigate to the specific dashboard tab
  3. Click Reset to Defaults
  4. Confirm the reset

⚠️ Warning: This cannot be undone. Your custom thresholds will be replaced with factory defaults.

Configuration Best Practices

  1. Start with defaults — Use Gantry for a week before customizing thresholds
  2. Adjust gradually — Change one setting at a time to see its effect
  3. Document changes — Note why you changed settings for future reference
  4. Review quarterly — Business conditions change; update thresholds accordingly
  5. Align with goals — Thresholds should reflect your actual targets, not aspirations
