How to activate and manage your Flux Capture license

Flux Capture requires a valid license to operate. This guide explains how to obtain, activate, and manage your license.

Getting a License

New Customers

To get started with Flux Capture:

  1. Visit fluxfornetsuite.com
  2. Request a demo or contact sales
  3. Receive your license key via email

Existing Customers

If you already have a Flux account:

  1. Log into the Flux customer portal
  2. Navigate to your subscriptions
  3. Copy your Capture license key

Activating Your License

Step 1: Open Settings

  1. Launch Flux Capture in NetSuite
  2. Click the Settings icon in the navigation
  3. Scroll to the License section

Step 2: Enter Your License Key

  1. Paste your license key in the License Key field
  2. Click Save Settings
  3. Wait for validation (usually 2-3 seconds)

Step 3: Verify Activation

After saving, you should see:

  • A green checkmark indicating valid license
  • Your subscription status (Active)
  • Your license expiration date

Tip: If validation fails, double-check that you copied the entire license key without extra spaces.

License Types

Standard License

The standard Flux Capture license includes:

  • Unlimited document processing
  • All extraction features (Smart Extract)
  • Fraud detection (Fraud Shield)
  • Machine learning (Learning Engine)
  • Email-to-Invoice capability
  • Side-by-side review interface

Trial License

Trial licenses are available for evaluation:

  • Full feature access
  • Limited time period (typically 14-30 days)
  • No document volume limits during trial

License Validation

Flux Capture validates your license periodically:

  • On startup - Checked when you open the application
  • Hourly - Background validation while in use
  • Daily - Full re-validation each day

Offline Operation

If your NetSuite instance temporarily cannot reach the Flux license server:

  • A 24-hour grace period allows continued operation
  • Normal features remain available during the grace period
  • Reconnection automatically restores full validation

ℹ️ Info: The grace period ensures your operations aren't disrupted by temporary network issues.

Managing Your Subscription

Viewing License Status

To check your current license status:

  1. Go to Settings in Flux Capture
  2. Look for the License section
  3. View your status, expiration date, and features

Renewing Your License

Before your license expires:

  1. Contact your Flux account representative
  2. Or renew through the customer portal at fluxfornetsuite.com
  3. Your existing license key may be extended, or you'll receive a new one

Updating Your License Key

If you receive a new license key:

  1. Go to Settings in Flux Capture
  2. Replace the old license key with the new one
  3. Click Save Settings
  4. Verify the new expiration date appears

Troubleshooting License Issues

"License Required" Error

If you see this error:

  1. Check your license key - Verify it's entered correctly
  2. Refresh the license - Click the refresh button in Settings
  3. Check expiration - Your license may have expired
  4. Contact support - If the issue persists

License Not Validating

Common causes and solutions:

Issue Solution
Typo in license key Re-copy and paste carefully
Expired license Renew your subscription
Network issues Wait and try again later
Account mismatch Contact support to verify account

Expired License

When your license expires:

  1. You'll see a notification in Flux Capture
  2. Document processing will be disabled
  3. Existing data remains accessible
  4. Renew to restore full functionality

Transferring Licenses

Moving to a New Account

If you're migrating to a new NetSuite account:

  1. Contact support@fluxfornetsuite.com
  2. Provide your current and new account IDs
  3. We'll issue a license for the new account

Sandbox Accounts

Development and sandbox accounts:

  1. Sandbox instances typically need their own license
  2. Contact your Flux representative for sandbox licensing options
  3. Enter the sandbox license key in your sandbox environment

Billing and Invoices

Payment Methods

Flux accepts:

  • Credit card (Visa, MasterCard, American Express)
  • ACH / Bank transfer
  • Annual invoicing (for enterprise customers)

Accessing Invoices

To view your invoices:

  1. Log into the customer portal at fluxfornetsuite.com
  2. Navigate to Billing
  3. View and download past invoices
