Side-by-Side Review

Efficiently review and approve documents with the split-screen interface

The Side-by-Side Review interface lets you verify extracted data while viewing the original document. This split-screen approach makes document review fast and accurate.

Overview

When you open a document for review, you'll see:

  • Left panel: Original document (PDF/image viewer)
  • Right panel: Extracted data form

This layout lets you verify each field against the source without switching between screens.

Opening a Document for Review

From the Queue

  1. Find the document in the processing queue
  2. Click on the document row
  3. Or click the Review button

Direct Link

Documents can also be opened via direct URL, useful for:

  • Email notifications
  • Workflow links
  • Bookmarks

Multi-Page Navigation

For multi-page documents:

  • Use page arrows to navigate
  • Enter page number directly
  • Thumbnail sidebar for quick jumping

Zoom and Pan

  • Scroll to zoom in/out
  • Click and drag to pan
  • Double-click to reset view

Extraction Form (Right Panel)

Header Fields

The top section shows key invoice details:

  • Vendor (with match confidence)
  • Invoice Number
  • Invoice Date
  • Due Date
  • PO Number
  • Memo

Amount Summary

Quick view of financial totals:

  • Subtotal
  • Tax Amount
  • Total Amount
  • Currency

Line Items

Expandable table showing each line item:

  • Description
  • Quantity
  • Unit Price
  • Amount
  • Account (for coding)

Reviewing Extracted Data

Verifying Fields

For each field:

  1. Look at the extraction - See what the AI found
  2. Check the document - Verify against original
  3. Correct if needed - Click to edit
  4. Move on - Tab to next field

Confidence Indicators

Fields show confidence levels:

Indicator Meaning
Green checkmark High confidence (85%+)
Yellow dot Medium confidence (60-84%)
Red warning Low confidence (<60%)
Orange flag Anomaly detected

Quick Navigation

Click on a field label to:

  • Highlight that area on the document
  • Zoom to the relevant section
  • See extraction context

Editing Fields

Inline Editing

Click any field to edit:

  1. Click the field value
  2. Type your correction
  3. Press Tab or Enter to save

Vendor Selection

To change the vendor:

  1. Click the vendor field
  2. Start typing to search
  3. Select from dropdown
  4. Or click "Add New Vendor"

Date Fields

Date fields offer:

  • Calendar picker
  • Manual entry
  • Clear option

Amount Fields

Amount fields:

  • Accept numbers only
  • Auto-format with commas
  • Validate against totals

Working with Line Items

Viewing Line Items

Click "Line Items" to expand the table:

  • All extracted items listed
  • Scroll for long lists
  • Sort by clicking headers

Editing Line Items

For each line item:

  1. Click any cell to edit
  2. Tab between columns
  3. Changes save automatically

Adding Line Items

To add a missing line item:

  1. Click "Add Line"
  2. Enter item details
  3. System recalculates totals

Removing Line Items

To remove an incorrect line item:

  1. Click the delete icon on the row
  2. Confirm removal
  3. Totals update automatically

Assigning Accounts

For each line item:

  1. Click the Account column
  2. Search or browse accounts
  3. Select appropriate GL account

Tip: The Learning Engine remembers your account choices and suggests them for similar items in the future.

Handling Anomalies

Viewing Anomalies

Detected issues appear in:

  • Top alert bar
  • Field-level warnings
  • Summary panel

Resolving Anomalies

For each anomaly:

  1. Review - Understand the issue
  2. Verify - Check the document
  3. Resolve - Correct or dismiss

Dismissing Anomalies

To acknowledge and proceed:

  1. Click "Dismiss" on the anomaly
  2. Optionally add a note
  3. Continue with review

Approval Workflow

Ready for Approval

A document is ready when:

  • All required fields populated
  • No high-severity anomalies
  • Vendor is selected

Creating the Transaction

When you approve:

  1. Vendor bill (or other transaction) created in NetSuite
  2. Document marked as completed
  3. Original file optionally attached
  4. You're navigated to next document

Batch Review

Processing Multiple Documents

For efficiency when reviewing many documents:

  1. Open first document
  2. Review and approve
  3. Automatically opens next
  4. Continue until done

Queue Position

Bottom bar shows:

  • Current position (e.g., "5 of 23")
  • Progress through queue
  • Navigation to specific documents

Mobile Review

The review interface works on tablets:

High-Confidence First

Start with high-confidence documents:

  • Faster to review
  • Often need no changes
  • Build momentum

Batch by Vendor

Process same-vendor invoices together:

  • Familiarize with format
  • Faster pattern recognition
  • Consistent coding

Use Keyboard Navigation

For high-confidence extractions:

Troubleshooting

Document Not Loading

If the document viewer is blank:

  1. Refresh the page
  2. Check your browser allows popups
  3. Verify file isn't corrupted

Cannot Edit Field

If a field won't accept input:

  1. Check you have edit permissions
  2. Verify document status allows editing
  3. Some fields may be locked after partial save

Form Not Saving

If changes aren't saving:

  1. Check for validation errors
  2. Ensure required fields are filled
  3. Look for error messages
